Where do I find reports?

With Webinato, you can find different reports with various kinds of aspects. These reports provide complete statistics of the participants who engage with webinars.  Mainly there are 3 categories. Those are,

  1. Session Reports (Room Access Reports).
  2. Autopilot Reports
  3. Event Reports..
In this article, you will learn how to access all the reports, in different ways.


Where do I find Session Reports?

A session starts when an organizer starts or joins a webinar room. To end a session properly, an organizer has to click the  button at upper right hand area in the webinar room and then, click End this webinar for all participants button.

To access Session reports using the admin page,
  1. Log in to the admin page as an organizer/presenter with admin rights. Or else, log in as a Super Admin.
  2. Click View Room Usage Reports.
  3. This page provides you with a powerful search tool and direct links to reports. There are options to download single or combined reports in .csv format with some customization.
  4. With the search tool, you can find 3 types of reports. 
    Ad-hoc session reports: Basic session reports.
    Event Reports: When you organize events with Event Manager, this is where you find the session reports with respect to those events.
    The last option helps you to find Autopilot reports. For events where registration was enabled, the reports will display the names in the Event Name column,
  5. To open a session report (AdHoc or Event Report), click on a date/time.
  6. The following image shows an example of an AdHoc report (Upper area. Except chat, announcements and Autopilot reports).



  7. An event or session report graphically displays the following individual reports.
    • AdHoc for adhoc events and the Event Name if the report was generated at the end of an event.
    • Participant count.
    • Average participation time.
    • Content Rating.
    • Location of participants.
    • Timeline


    • Details of participants.

    • Polling Reports.
    • Survey reports.
    • Q&A reports.
    • Documents: Document referenced (Documents available in the Documents folder in the room) in general chat during the session,  when downloaded by participants, the names of documents and hit counts appear here.
    • Chat an Announcements: Click the '+' button to expand the reports.


    • Autopilot (Recorded Sessions) names and links to the individual reports.




8. In addition to these visual reports, you can download a complete room report in .csv format (Microsoft Excel compatible). In this report you can find the following.
    • Presence Manager Report.
    • Statistics of each participant such as participation time stamps, IP address, software utilized, lots of other individual reports you already see graphically.
9. Most of these graphical reports can be downloaded in .csv format (Microsoft Excel compatible)



Where do I find Autopilot Reports?

As mentioned in the previous section, you can find autopilot reports using the search tool provided in the page View Access Information, by selecting the last checkbox under the "Include :" option in the search tool (To view only the Autopilot reports, clear the AdHoc and Event selections). It is easier if you follow the path given below.

To access the Autopilot reports using the admin page,

  1. Log in to the admin page as an organizer/presenter with admin rights. Or else, log in as a Super Admin.
  2. Click View Autopilot Reports.
  3. This page provides you with a powerful search tool and direct links to reports. There are options to download single or combined reports in .csv format with some customization.
  4. To search for a report, use the search tool.
  5. To open a session report (AdHoc or Event Report), click on a the name of the Autopilot.
  6. This report includes,
  • Name of the autopilot.
  • Webinar Room in which it was recorded.
  • Date/time of the recording.
  • Duration.
  • Reports of viewers.
  • Chat and Questions including Q&A questions.
  • Polling and Survey reports (Both graphical and downloadable).
  • A downloadable complete report is also available.


Where do I find Event Registration Reports?

To access the Event reports using the admin page,

  1. Log in to the admin page as an organizer/presenter with admin rights. Or else, log in as a Super Admin.
  2. Click the Manage Events link.
  3. Click the Edit/View buttons or double click the event to open up the event properties page.
  4. Click the Report tab.


  5. If this was a onetime event, the report lists the following details.


  6. If this was a recurring event, click the check boxes in the Select column to select individual occurrences (Single or multiple dates) first. Then, click the Show Reports button to open up the reports. The visual display shows multiple reports (If selected) grouped by date. 
  7. Downloadable report which is in .csv (Microsoft Excel compatible) includes payment details (If a payment was required during registration), answers to custom question and more. To download the report, click Export to Microsoft Excel button. If the event is a recurring event, you have to first make a selection, as mention in step 6. Then click the Export to Excel button.



How do I access these reports on the fly?

You can access these reports while you are in a webinar room, on the fly.
Note: Reports for the current session will not be available before ending the session for all.

  1. While in a webinar room with appropriate permissions to access reports, click the Settings and Options button at the upper right hand corner in the room.


  2. The following window will open.


  3. To access reports,
  • Click the Reports link to access the Session reports
  • To access Autopilot reports, use the search tool. Or else, click the General Page and then, click the View Autopilot Reports link. 
  • To access the Event reports, click the General Page and then, click the Event Manager. Then follow the steps provided in the "Where do I find Event Registration Reports?" section, from step 3.
